Job Summary
Under the general direction of the Director of Career and College Resources, the Program and Event Coordinator supports and assists in the planning and implementation of a wide variety of events, programs and activities that support youth and are embedded within HCOE and district-sponsored career technical education and college access programs. This individual will employ a collaborative model delivery system that involves HCOE community partners, including higher education, local business, chambers of commerce, service clubs and K-12 schools. The Program and Event Coordinator will promote both school-based and county-wide efforts at all levels.
Distinguishing Characteristics
The Program and Event Coordinator works with a variety of people representing K-12 and higher education, business and industry partners. This is a coordinator/specialist level position which requires working on a variety of projects under minimal supervision. The position involves not only planning and implementation of programs and events, but also taking part in creating new programs as the department grows and develops with the needs of the community.

This position is under the supervision of the Director of Career and College Resources.

- Leads in the planning and promotion of activities associated with HCOE Career and College Resource Department programs
- Makes presentations to local businesses and community groups discussing the opportunities available to youth
- Promotes collaborative relationships among multiple agencies and organizations and assists partner agencies in monitoring/evaluating their individual program components
- Supports the goals of California Career Technical Education and North Coast Cal-SOAP
- Helps strategize services to be delivered to students and/or schools
- Coordinates the planning, promotion and execution of department programs and events. Examples include the North Coast College and Career Expo and CTE Summer Institutes
Qualifications (aka Employment Standards)
Knowledge of:
- The broad spectrum of issues related to college and career readiness
- Effective marketing, public relations and promotional strategies within schools and to the community
- Event planning with the utilization of multiple technologies, such as electronic presentations, video recording and live streaming
- Typical computer word processing and data file management programs
- Evaluation methodologies and approaches to accountability documentation
Ability to:
- Relate well to, and work cooperatively with, a variety of agencies and school representatives, teens and community organization members
- Speak to small and large groups with poise, confidence and clarity
- Create effective informational and marketing materials, including public relations and social media outreach
- Use a computer for producing written correspondence and maintaining data files
- Take initiative, as well as follow the directions of the program supervisor(s)
- Communicate with tact, courtesy and sensitivity
- Problem-solve with groups and facilitate/conduct advisory meetings
- Follow oral and written instructions
- Adapt to changing work demands, including adjustments to work schedule based on program/event needs
- Manage task priorities to meet deadlines
- Work effectively under varying degrees of stress
- Read and comprehend fine print and technical/legal language in contracts, spreadsheets and text files

- Lift/move materials generally weighing less than 20 pounds
- Visual acuity sufficient to recognize people, words and numbers is necessary
Education and Experience and Requirements
Minimum Required: Any combination of training and experience that would provide the required knowledge, skills and abilities is qualifying. A typical way to obtain the required qualifications would be:
Education
Bachelors’ Degree preferred; OR AA Degree in Business Administration, Communication, Recreation or related field and at least two years’ experience organizing/managing events.
Experience
Previous experience in program and/or event planning is highly desirable, as is experience in public speaking and public relations.
Working Conditions (Work Environment)
- Due to the nature of event programming, this position will require a flexible schedule, including some evening and weekend work.
- The primary work location will be in the Career and College Resources Department office; however, work environment is dependent on the location of program/events.
- This position may require transportation of students, depending on program needs.
- Program and event work requires interaction with the public and encountering potentially uncooperative program participants.
Physical Demands
While performing the duties of the job, the employee may be required to:
- Stand, sit and/or move about for sustained periods
- Move about in non-traditional instructional environments; i.e., areas of the community
- Travel to multiple locations in a given day or during the work week
- Participate in daily oral and written communication
- Operate a computer, calculator, copier and other equipment that involves repetitive arm and hand movements and hand-eye-arm and finger dexterity
Other Requirements
- Must be fingerprinted and a satisfactory Department of Justice records check must be received by HCOE prior to employment.
- TB testing and/or risk assessment will be required upon employment.
- Must pass a pre-employment physical (if applicable).
- May be required to obtain first aid and CPR certificates within the first 6 to 12 months of employment.
- May be required to drive with or without students; some positions may require a California Driver’s License, proof of insurance and possible participation in the DMV PUll Notice Program once employed.
