Cal-SOAP Program and Events Technician

Job Summary

Under the general direction of the Higher Education Pathways Program Manager (Cal-SOAP Program Manager) the Cal-SOAP Program & Events Technician plans and implements a wide variety of events and activities which promote successful college and career readiness and supports the recruitment, intake, and reimbursement of Cal-SOAP student staff. This is a classified, full-time, 12 month position.

Examples of Duties

  • Works collaboratively with agency partners to coordinate, promote, and deliver a variety of events, including but not limited to, North Coast College and Career Expo, Cash for College Workshops, I’ve Been Admitted to College at HSU, Redwood Days at CR, Making College Happen at HSU, High School Counselor Financial Aid Workshops, etc.;
  • Works with appropriate supervisors and the HCOE Communication Center to develop promotional materials for events and the Cal-SOAP program in general;
  • Creates and presents college & career presentations and workshops to students at participating schools and during events;
  • Supports the intake and reimbursement of student staff by working with the Cal-SOAP program manager and HCOE Personnel to recruit, screen for eligibility, interview, ensure hiring steps and paperwork are completed, ensure timesheets and mileage forms are accurate and submitted on-time, update projected hours on payroll spreadsheet, and work with HSU Career Center to secure and track work study benefits;
  • Directs the work of student staff at events and workshops and serves as backup support to ensure student staff have guidance and oversight as needed.
  • Works with the Cal-SOAP Financial Aid & College Admissions Technician to coordinate and implement the Summer Melt program and assist in advancing the Cal-SOAP College Success Program;
  • Works with Cal-SOAP program manager to foster and maintain positive, open and on-going communications and to align philosophies and goals with Cal-SOAP, California Student Aid Commission, HCOE, Cal-SOAP partners, and school sites;
  • As co-planner of North Coast College and Career Expo, serves on statewide college fair committee to provide rural perspective;
  • Enters student and event data into web-based database, as well as, develops and maintains supplemental report systems, as necessary;
  • Maintains records in compliance with program and legal requirements and updates the Technician Manual with new policies and procedures, as they are developed.

Education and Experience

  • Graduation from high school or comparable demonstration of basic competence;
  • AA/AS degree completion with Bachelor’s degree preferred;
  • Prior experience in events coordination and working with youth preferably in a student support services environment;
  • Prior experience leading, organizing or supervising the work of others is desired;
  • Experience in previous positions, which have required strong customer service or public relations skills, is expected;
  • Applicants must possess a valid CA driver’s license, auto insurance and have access to a reliable vehicle to perform certain tasks related to this position.

Knowledge of:

  • Event planning with the utilization of multiple technologies such as electronic presentations, video recording, live streaming, etc.;
  • Effective promotional strategies and techniques within schools and to the community;
  • Basic Community College, California State University, and University of California enrollment requirements and timelines;
  • Basic Federal Application for Financial Aid (FAFSA) and California Dream Act (CADAA) requirements;
  • Career paths and future related educational opportunities for students;

Ability to:

  • Coordinate and promote events, organize work and manage multiple projects and events simultaneously to meet deadlines;
  • Adjust communication style and work cooperatively with a variety of agencies and school representatives, teens and community organization members;
  • Present to small and large groups with poise, confidence and clarity;
  • Understand and incorporate general college admissions and financial aid information into events and promotional materials;
  • Communicate effectively via email, telephone, Zoom, and in -person with professionalism, tact, courtesy and sensitivity;
  • Maintain accurate records for program performance tracking and audits;
  • Follow oral and written instructions;
  • Take initiative, as well as, follow the directions of multiple program supervisors;
  • Model the same professional dress code as student staff, as outlined in the Cal-SOAP Program Handbook;
  • Lift/move materials generally weighing less than 30 pounds;
  • Use Google Suite and Microsoft Office Suite proficiently.

NOTE: This position is required to have a cell phone with reimbursement available based on current HCOE policy amount. These job duties may require sitting for long periods while using a computer or completing paperwork. Periodically required to modify daily/weekly work schedule in a reasonable manner to accommodate the needs of the program (e.g. Cal-SOAP Saturday trainings, evening events/meetings).
